 Add Project:

 

Enter high-level information about the project to be communicated to your vendors.

 

 

General Project Information

*Project Title

§ A brief project description.

*Address

§     The street address of the project location.

*City

§        The city where the project is located.

*State

§         The state where the project is located.

§         Click in the drop down box to select the desired state.

*Zip

§         The zip code of the project location. (If you do not know the zip code, enter the street, city and state and double click Find Zip.)

Pre-Bid Meeting Date & Time

§         The date of the pre-bid meeting.

§         Entry format is mm/dd/yy (If you enter two digits for the month, day and year, i.e. 08/01/00, the slashes will be inserted automatically.)

§         The time of the pre-bid meeting.

§         Entry format is hh:mm (If you enter two digits for the hour, i.e. 09:30, the colon will be inserted automatically.)

*Bids Due Date & Time

§         The bid due date.

§         Entry format is mm/dd/yy  (If you enter two digits for the month, day and year, i.e. 08/01/00, the slashes will be inserted automatically.)

§         The bid due time.

§         Entry format is hh:mm (If you enter two digits for the hour, i.e. 09:30, the colon will be inserted automatically.)

*Is this a sealed bid?

§         If you are requiring bid submittals to you to be sealed, click Yes.  You will not be able to open any bids submitted to you via BB-Bid until the Bids Due Date & Time.  Otherwise, click No

Start Date

§         The project starting date.

§         Entry format is mm/dd/yy (If you enter two digits for the month, day and year, i.e. 08/01/00, the slashes will be inserted automatically.)

End Date

§         The project ending date.

§         Entry format is mm/dd/yy (If you enter two digits for the month, day and year, i.e. 08/01/00, the slashes will be inserted automatically.)

Contract No.

§         The contract number.

Valuation

§         The dollar value of the project.

Click in the drop down box to select the Structure Type:

§         Residential Building

§         Non-Residential Building

§         Non-Building Construction

*Project Type

Click in the drop down box to select the Project Type:

Screen Tips

q      Data must be entered in fields marked with a red asterisk (*).

q     To move from field to field, press the Tab key or use the mouse.

q     You may need to use the scroll bar or arrows to the right of the screen to view all data fields.

 Click Next at the bottom of the screen to proceed to the Details screen.

Details § Further define your project.

 

 

Detail Project Information

Total Number of Buildings

§ The number of buildings the project involves.

Number of Stories Above Grade

§ The number of stories above grade.

Number of Stories Below Grade

§ The number of stories below grade.

Total Square Footage

§ The total square footage of the project.

Scope of Work

§ Further describe the project or any special requirements.  Free form text.  You may copy and paste from other documents.

  

To proceed to the Principals screen, Click Next at the bottom of the screen OR click on the Principals tab.

 

Principals § Entry of principals is optional project information. However, this screen enables you to message the projects principals - Owners, Architects, and Engineers.

 

To Add a New Principal...

Enter the principals phone and click Find.  You will have one of three options &

 

If there is a match (either from My Vendors or The Blue Book database), the fields will fill in automatically...

 

1. If the information displayed is NOT the name you want, search again by clicking Clear and entering a different phone number and clicking Find.

 

2. If the information displayed is the name you want...

 

§ You must select a Principal Type, (i.e. Architect, Owner, etc.), from the drop down menu and click Save.  The principal will now appear under Project Principals.

 

§ To modify any information, other than Principal Type, click My Vendors tab and make sure you are in Search My Vendors.  In the Search By drop down menu, select phone/fax/cell/pager#.  Enter the number and click Search.  Click on the Companys name to bring up the information screen.  Edit the information, click Next  Page <to finish & SAVE>>  to go to the next screen, click Save Vendor.  When asked if you wish to continue adding new vendors, click Cancel.  Click on My Projects tab and you will return to the Principals screen.

 

If there is NO match...

 

3. If there is no match, you will see No matching vendor was found.  Would you like to create a new vendor?  If yes, click OK and fill in the fields.  Click Save and the name will be added to the list under Project Principals.

 

To proceed to the Plans/Specs screen click Next at the bottom of the screen OR click on the Plans/Specs tab.

 

Plans/Specs § Identify the location(s) where plans can be viewed, picked up, or purchased.  Entry of plan locations is optional project information.

To view more information and access these features, click on one of the buttons or scroll down to the appropriate section.

 

To proceed to the Vendor Wizard screen click Next at the bottom of the screen OR click on the Vendor Wizard tab.

 

Vendor Wizard § Build your preferred vendor list.

 

Step 1

The Groups screen is where you select the groups that are required for this project.

 

§Click on the box to the left of the GROUP you wish to include. A check mark will      display

§Continue clicking on the boxes until you have selected all required GROUPS.

§Click Next at the top or bottom of the screen to proceed to the Category selection screen.

Step 2

The Categories screen is where you choose categories from which vendors will be selected.

 

§Click on the box to the left of the CATEGORY you wish to include. A check mark will display

§Continue clicking on the boxes until you have selected all required CATEGORIES for this Group.

§Click Next at the top or bottom of the screen to continue selecting CATEGORIES for the next Group.

§Repeat these steps you have selected CATEGORIES for each Group.

§After you have selected CATEGORIES for the last Group, Click Next to continue.

Step 3

The Vendor Search screen is where you choose how you would like to search for vendors.

 

§The Vendor Proximity screen allows you to define the parameters of your vendor selection by either Rank, Region, or Proximity and then selecting the minimum and maximum number of vendors to be added to your list.

§Click Find Vendors to let the Wizard build your categorized list of vendors.

 

 Bid Solicitations:

 

Bid Solicitations holds all of your added projects, where you have the ability to do the following:

 

§ View Message History

§ Show Bidders

§ Promote in BidScope

§ Create Online Plan Room

 

 Bid Entry:

 

Bid Entry gives you the ability to manually enter bids, or change bid status.  

 

 Reports:

 

Create Reports based upon a specific project and other selection criteria.

 

 Archived Projects:

 

Archived Projects holds all of your archived projects.
